Artwork File Checklist for Gym Membership Cards, Lanyards & Banners

The biggest delay in any gym opening printing order usually comes down to artwork — files that are too low-resolution, missing bleed, or inconsistent between items. This checklist covers what to prepare before ordering membership cards, lanyards, and banners for your Dubai studio, so your files are ready to go the first time.

Logo Files

  • Provide your logo as a vector file where possible (AI, EPS, or PDF), since these scale cleanly from a small ID card to a large banner without losing sharpness.
  • If you only have a raster logo (JPG or PNG), make sure it's high resolution — a logo pulled from a website or social media profile is usually far too small for print.
  • Include a version of your logo with a transparent background, useful for placing on coloured card designs or banner backgrounds.

Brand Colours and Fonts

  • Share your exact brand colour codes if you have them (e.g. Pantone, CMYK, or HEX values), rather than relying on how a colour looks on a screen, since screen and print colours can differ.
  • List the fonts used in your branding, or confirm you're open to a close print-safe alternative if your exact font isn't suitable for small text like membership numbers.
  • Keep colours and fonts identical across ID cards, lanyards, business cards, and banners so the full package reads as one consistent launch.

Membership Card Data

  • Decide whether cards will be personalised per member (name, number, photo) or left blank for manual completion at check-in.
  • If using barcodes or QR codes, confirm the code type, data format, and placement required by your access or POS system before finalising the design.
  • Prepare a simple spreadsheet of member or staff names if cards are to be individually printed, with consistent formatting (capitalisation, spacing) to avoid errors across a batch.

Lanyard Artwork

  • Lanyard printing is typically a repeating pattern along a narrow strip — keep text and logos simple, since fine detail can be lost on woven or narrow printed surfaces.
  • Confirm clip and attachment style (bulldog clip, swivel hook, or badge reel) alongside your artwork, as this is a separate choice from the printed design itself.

Banner Artwork

  • For roll-up banners viewed up close (reception, front desk), moderate text sizes and full messaging work well.
  • For large exterior or storefront banners viewed from a distance, keep messaging short and bold — a passer-by will only read a few words at a glance.
  • Provide artwork at the correct aspect ratio for your chosen banner size in advance, rather than resizing a design after the fact, to avoid stretched logos or cropped text.
  • Include a small safe margin around the edges of banner artwork so no text or logo elements sit too close to the trim edge.

File Format Summary

  • Best: vector files (AI, EPS, PDF) for logos and text-heavy layouts
  • Acceptable: high-resolution PNG or JPG (ideally 300 DPI at final print size) for photo-based or complex artwork
  • Avoid: logos or images copied directly from websites, social media, or messaging apps, which are almost always too low-resolution for print

Final Check Before Submitting

Before sending files across for your ID cards, lanyards, and banners, do a quick pass to confirm: logo files are high-resolution or vector, colours are consistent across every item, any personalised data (names, numbers, codes) is accurate and consistently formatted, and banner text is legible at its intended viewing distance.
