Company Stamp Proof Checklist: What to Check Before Approval

A stamp repeats every detail you approve, including a misspelling. Check the proof against your source documents and the space on the form before you confirm production.

Check the wording from a single source

Copy the company name from your approved business details rather than typing it again from memory. Compare initials, abbreviations, punctuation and any second-language wording. If you want a telephone number, address or other identifier on the stamp, confirm it is current. Include only the details your workflow requires.

Review the impression at its actual size

A design can look clear when enlarged on a screen and become crowded when reduced. View or print the proof at the intended impression size. Read the smallest line without zooming in. If it is difficult to read, remove optional wording or ask about a larger format. Do not solve every spacing problem by shrinking the letters.

Check it against the document

Place the proof beside the box or area where the stamp will go. Leave space for handwriting, dates and signatures. Check that a round border or long company name will not cover another field. If the recipient gave you a required format, compare that requirement with the proof.

Approve one final version

Nominate one person to send the final correction list. Ask for a revised proof when changes are made and approve that version explicitly. Keep the approved file with the order details so a later replacement can use the same reference.
