Collect feedback into one checked list before sending it to the designer. Separate factual corrections from layout preferences so both can be resolved clearly.

Identify the version and location
Name the proof version and the page or panel containing each change. Quote the text to replace and provide its exact replacement. A marked PDF can help, but include readable notes for anything that is hard to mark.
Explain layout requests
Describe the problem you need solved, such as a hard-to-read contact number or an offer that should be noticed first. Check requested changes at the intended print size. Avoid combining conflicting feedback from different reviewers without resolving it.
Make final approval explicit
Review the complete revised proof, including unchanged details. Confirm spelling, contact information, page order and codes. Approve a single final version and its print specification; changes after approval may affect the price or production schedule.
