A clearance office often orders more stamps and ID cards at once than a typical small business, so getting the wording and specs right the first time matters. Work through this checklist before placing your order.
Stamp wording and specs
- List every stamp you need individually — for example "Company Stamp", "Received", "Cleared", "Delivery Order" — rather than assuming one stamp covers every use.
- Confirm the exact company name and licence details as they appear on your trade licence; a stamp with a mismatched company name can cause problems on official documents.
- Decide bilingual wording (Arabic and English) up front if your stamps will appear on documents used with government departments or ports — adding a language after production means a new stamp, not an edit.
- Specify ink colour per stamp if you use colour-coding between departments (e.g. blue for operations, red for accounts).
Embossing seal specs
- Confirm the exact wording and any registration/licence number that must appear on a corporate or notary-style embossing seal.
- Embossing seals are harder to amend after production than ink stamps — double-check wording before approving the design.
ID card details
- Provide a staff list with full names, job titles and (if used) employee or badge numbers before your first batch, so cards can be produced together rather than one at a time.
- Confirm whether cards need to match a specific access system's card format, or are for general identification/gate-pass use only.
- Send a current photo per staff member, in a plain background, at reasonable resolution — low-resolution photos taken from a phone screenshot don't print cleanly.
Signage and stationery artwork
- Send your logo as a vector file (AI, EPS, or high-resolution PDF) for signage and letterhead — this keeps text and edges sharp at print size.
- Measure your office reception or warehouse signage location before ordering, so the sign is produced to fit.
- For business cards and letterhead, confirm job titles and direct contact details per staff member before the first print run.
Before you approve
Ask for a proof of every stamp, seal and ID card before production, and check spelling and company details against your trade licence. This is especially important for stamps and seals used on official documents, where an error is harder to correct after the fact than on a business card.
