Estimate quantities from your actual distribution plan. Separate handouts, counter displays, event packs and spare copies so the print order has a clear purpose.

Count by location or event
List the places where you intend to distribute the flyers and the number allocated to each. For an event, distinguish expected attendees from the number of flyers each attendee should receive. Check permission with the venue or location before arranging distribution.
Separate versions
Different offers, branches or languages need separate artwork and quantities. Use a simple version list with the filename, description and copy count. Check that every flyer sends the customer to the right contact or location.
Work back from the use date
Tell the printer when distribution starts, not only the event date. Leave room for artwork approval and confirm production and delivery separately. If the offer changes often, discuss a smaller initial run instead of ordering copies that may become outdated.
